ORIGINAL SETUP
Intact teams usually meet on a regular basis with a rolling membership. Attention needs to be paid to meetings when new members arrive and when old members leave. This is particularly true when the team leader comes or goes. You will need to have small versions of the initial meetings and final meetings each time there is a change-over to induct new members and for good-byes and handover from leaving members
BEFORE ANY MEETING
- Send out minutes of previous meeting well in advance with action items highlighted.
- Locate room.
- Notify members of the time, place and objective.
- Call for agenda items and time needed for them.
- Send out agenda and any other papers.
- Set up room - seating and table space, flip chart, refreshments.
INITIAL MEETING(S)
Objective: Team Building and Establishing Working Ground Rules
- Provide for introductions and/or some warm up activity.
- Check for agreement with or amendments to team aims.
- Develop working ground rules with the group for the team's meetings (see ground rules).
- Develop plans with the group about what is done when ground rules are broken.
- Evaluate meeting.
REGULAR MEETINGS
- Prepare for each meeting by using the Before Any Meeting check list. If meetings happen frequently, some of the items, such as calling for agenda items, may be done at the beginning of the meeting.
- Check for agreement with meeting objective.
- Delegate leadership (Timekeeping, flip chart recording) and record keeping functions.
- Review agenda and call for AOB items and time needed.
- Proceed through agenda. (Be sure to renegotiate time if an item takes longer than estimated.)
- Check to insure that decisions are clearly made and understood by members.
- Make clear action assignments with deadlines.
- Evaluate meeting and record on flip chart.
AFTER ANY MEETING
- Get minutes to members with reminders about work assignments.
MEETING IN WHICH A MEMBER IS LEAVING
- Set time on the agenda for handover items.
- Set time for goodbyes and appreciations.
